Summary/Objective Immediate openings (Full and Part Time Positions) for an enthusiastic and outgoing person for a Front Office Coordinator in our medical spa facility. Our business is all about helping clients achieve healthy lifestyles and help them maintain youthful appearances. The person we seek will exemplify those qualities and have a passionate interest in healthy living.
The front desk coordinator job is primarily that of a concierge … a person who provides top-level customer service to our clients, whether by phone or in person. The position requires coordinating activities of the front office, to facilitate the duties of other staff members, and be the “go-to” person for general office procedures and processes. This candidate must have excellent professional phone skills as well as the ability to “sell” an appointment to non-clients who call asking about our services. Therefore, the position requires part sales and full time personality. Prior health facility and/or front desk experience preferred, but we will offer thorough training to the applicant who demonstrates organizational skills, computer literacy, attention to detail and the willingness and ability to learn quickly.
Manages reception area to ensure excellent customer service, telephone and mail communications
Coordinate activities of the front office, to facilitate the duties of other staff members, and be the “go-to” person for general office procedures and processes.
Coordinates all administrative activities for office administration
Checks emails daily and forwards to the appropriate person
Give clients tours and introduce them to staff
Follows up on missed appointments and schedules follow up calls for staff
Pull charts daily, file them properly, and create new patient charts
Mail out welcome letters to new patients
Maintain proper inventory and office equipment
Back up customer liaison with phone appointments and customer prospective
Print monthly specials
Reorders office supplies and negotiates the purchase of office supplies
